Rules and Policies

Who needs a ticket?

All attendees need a ticket for WOLF Media Festival. When pre-purchasing tickets, each adult ticket includes 1 (one) child ticket per adult ticket purchased. Children are any person ages 0-17. Please be prepared to show proof of age onsite. Please note, all minors under the age of 16 must be accompanied by a parent and/or guardian to enter any event room. If you purchase a ticket at the door, children’s tickets are sold separately from adult tickets. WOLF Media Festival does not provide child care services on site.

What is the Harassment Policy?

WOLF Media Festival has a ZERO TOLERANCE POLICY for harassment of any kind, including but not limited to:

  • stalking
  • intimidation
  • offensive verbal comments
  • physical assault and/or battery
  • harassing or non-consensual photography or recording
  • sustained disruption of Panels, signings, and other events
  • bathroom policing
  • inappropriate physical contact
  • unwelcome physical attention

In relation to, but not limited to:

  • race
  • color
  • national origin
  • gender
  • gender identity
  • gender presentation
  • sexual orientation
  • age
  • body size
  • disability
  • appearance
  • religion
  • citizenship
  • pregnancy

If a person engages in harassing behavior, WMF staff will take prompt action in any form they deem appropriate, including expulsion from WMF with no refund. This policy applies to EVERYONE at the convention. Exhibitors, fans (attendees), speakers, guests, professionals, press, staff, Minions and security are all subject to our Anti-Harassment policy and will be held to the same standards and disciplinary action.

Can I bring a handcart, suitcase, stroller, or something similar?

Due to space limitations, all of these items are not permitted in any of our panel rooms. If your item can be easily collapsed, you may be able to store it against the wall of a panel room, but please check with staff at each room to ensure space availability.

Weapons and Cosplay Policy

WMF staff and building management shall have sole discretion in any matter that they believe may affect public safety or be important to protect the integrity of the event.

Hate symbols are not permitted at WMF, including as part of cosplay, and WMF will not allow costumes that contain hate symbols or appropriate the symbolism of hate groups, including, but not limited to, historical/comic-related/satirical costumes that are associated with Nazis.

Please review our entire weapons policy before attending WMF. Failure to adhere to our policy may result in your item being confiscated or your removal from the show without refund.

If you’re bringing, buying or selling something that could maim, damage or cause serious bodily harm, we’re going to take issue.

The following items are forbidden from WMF:

  • Functional firearms (including air soft, BB, cap, paintball, and pellet guns)
  • Realistic replica firearms
  • Functional projectile weapons (blow guns, crossbows, bows, silly string, slingshots, water guns/balloons)
  • Sharpened metal-bladed weapons
  • Explosives (firecrackers, fireworks)
  • Chemical weapons (mace, pepper spray)
  • Blunt weapons (brass knuckles, hockey sticks, clubs, bats, nunchaku)
  • Hard prop weapons made of metal, fiberglass, or glass
  • Noise-making instruments like vuvuzelas, grenade horns, whistles
  • Whips
  • Aerosol mustard

At the discretion of security onsite, the following may be allowed:

  • Lightweight plastic and metal shields
  • Plastic/PVC props and lightsabers
  • Toy guns as long as they do not look like real ones, cannot function or shoot projectiles and have an orange tip on the barrel. The barrel of all prop firearms must be covered with brightly-colored caps.
  • Prop bows will be allowed providing all arrows have soft tips made of foam or cardboard and the bow itself is de-strung. If it is not, our security team will be de-stringing the bow.
  • Prop weapons will be allowed providing they are composed of foam or cardboard only. Prop firearms are allowed only if they cannot be mistaken for real weapons. The barrel of all prop weapons must be covered with brightly-colored caps. Prop bows will be allowed providing they have soft tips.
Droid Policy

For the safety and enjoyment of all of our fans, WOLF Media Festival does not allow any remote controlled or otherwise operational robotics and/or droids that is not part of an individual’s worn cosplay, with the sole exception being such robotics as are deemed necessary for medical purposes. Only droids or robotics that are part of a Show feature and pre-approved by Show management in advance of the Show shall be permitted onsite. Show management reserves the sole right to refuse enter to the Show to any robot or droid, and such robot or droid’s operator and/or owner. For the avoidance of doubt, any remote controlled or otherwise operational robotics and/or droids shall not be permitted inside the Washington State Convention Center, or any other venue that is part of the Show, at any time during the Show.

Prop weaponry is allowed on the condition that it is comprised of light materials such as foam, cardboard or a lighter wood/wood composite.

Reproductions, fake or toy guns are permitted provided they have a brightly colored cap on the barrel.

Metal-bladed weapons must be dull and kept in its sheath at all times. Projectile weapons may be brought if the arrow/bolt tips are covered or foam.

Please use your common sense - if your prop can be mistaken for a real weapon, do not bring it.

Your prop weapon can be confiscated. In the event you bring a prop that is deemed unsafe for the show, you have the option of returning it to your car/home or we will confiscate your item. Your item may be picked up at the end of the day. Any items not picked up by Sunday at 6:00 PM will be discarded.

Can I take pictures/videos at the shows?

For the most part, you're welcome to take still pictures and video at WMF; however, please note that all photography and recording is prohibited during panels and screenings, and in select labeled areas. Also, please understand that guests may or may not pose for photographs with fans. Guests have a right to their privacy, and if they ask not to have their picture taken, please respect their wishes.

Will I be on camera?

WOLF Media Festival may attract local, national and international press. In purchasing this ticket and in consideration for being admitted to the event, the holder consents to being recorded (by audio, visual and/or other means) for exhibition and exploitation by any means in all media now known or hereafter devised worldwide in perpetuity. Holder also hereby: (1) releases WOLF Media Festival from any liability for loss or damage to persons or property, infringement of any right or any other claim or course of action of any kind; (2) authorizes and permits WOLF Media Festival and its designees which include but are not limited to all sponsors, exhibitors and contractors to use and authorize the use of his/her name, voice, likeness and all reproductions thereof by any means and in all media now and hereafter know for all purposes worldwide in perpetuity; and (3) agrees to comply with all rules and regulations of the event. Holder agrees not to make any recordings of any kind at designated activities without the express written permission of WOLF Media Festival. We reserve the right to deny entry or remove from the Event facilities any person who in our sole and absolute discretion is behaving or threatening to behave in a manner which we reasonably consider to be disruptive of the event.

Can I bring a gift to a guest at the event? Is there a gift giving guideline?

Fans are welcome to bring gifts for guests. However, we do have some guidelines. Guests will not be able to accept any gifts in Photo Ops. Fans can bring gifts to the Autographing Table where it can be given to the guest or passed along to the guest's handler for the guest to receive later. Guests will not accept food or drink items and outside alcohol is not allowed in the building. For all other gifts, our standard safety policies apply. When working on a gift for a guest, please remember that guests travel to events and are limited with what they can bring back with them. Any big or oversized gifts will most likely be left behind.

A word from our team:

Tickets and/or badges (“Tickets”) for the WMF event (“Event”) are non-refundable and cannot be reproduced or upgraded. Tickets are non-transferable. The unauthorized resale or attempted resale of the Tickets is prohibited and will constitute a forfeiture of the Ticket without compensation. Each Ticket must be used by the same person (the “Attendee”) for each day of the Event and such use is at all times subject to the Terms of Service for Participation in the Event, which is made available on the Event website. The Event’s operating hours, schedules, guests and speakers are subject to change or cancellation without notice. Each Ticket is a revocable license to attend the Event. All panels, autographing, photo ops, special events, show features and performances are subject to availability and access is not guaranteed and/or may require an additional fee. WOLF Media Festival is not responsible for lost or stolen Tickets. The Attendee acknowledges there are hazards and risks of physical injury or illness to Attendees of the Event and that not all such hazards or risks can be fully eliminated. By accepting this Ticket and attending the Event, the Attendee freely and voluntarily agrees to assume the full risk of bodily injury or property damage, regardless of severity, or death that Attendee may sustain as a result of attending the Event, whether or not caused by the negligence or gross negligence of WOLF Media Festival.

Safety, Security, Code of Conducts, and Prohibited Activities

Policy

The safety, security, wellness of our staff, partners and customers is our priority at WOLF Media Festival.

We work closely with the venue, our security vendors, state, local and federal law enforcement authorities, and public health officials/advisors to identify risks, assess them, and develop safety and security plans for each event. The policies and procedures on this page apply to every “participant” in any of our events in any manner whatsoever, including, but not limited to, all exhibitors, attendees, speakers, guests, professionals, media, staff members, workers, contractors, vendors, security, or anyone else who participates in the event in any way.

Every event participant should be aware of the following procedures at our events:

  1. Security staff may approach you outside the event, at entry or inside the event in order to assist
  2. You are required to wear the event ID badges/credentials provided to you
  3. Security safeguarding measures and operational plans are in place at our events, including:
    1. Badge/ticket verification
    2. Physical screening/bag checks
    3. Monitored and recorded security surveillance/CCTV
    4. Uniformed and covert security guards
    5. Crowd management/stewards, signage and barriers, as necessary
  4. Security measures may include:
    1. Walkthrough or handheld scanners
    2. Uniformed and covert police
    3. Canine Security and Detection

Every event participant is requested to:

  1. Leave appropriate time to comply with entry requirements and remain patient and courteous while undertaking security checks
  2. Monitor your health in accordance with the health and safety acknowledgement
  3. Keep personal property with you at all times and do not leave any items unattended. WOLF Media Festival and the venue are not responsible for lost or missing property
  4. Report anything that looks unusual, suspicious, or out of place to a member of security or event staff
  5. Always carry a recognized form of photo ID
  6. Comply with all event policies, signage and the instructions of event staff. Operational adjustments may occur throughout the event
  7. Please be aware of and respect the personal boundaries of your fellow participants so that everyone can enjoy their time at the event
  8. On your final visit to the event, dispose of your badge inside the event or after you have returned home, not in bins immediately outside the event

WOLF Media Festival strives to create and maintain an environment where all people are treated with dignity, decency, and respect. As such, we expect every “participant” in any WOLF Media Festival event in any manner whatsoever, including, but not limited to, all exhibitors, attendees, speakers, guests, professionals, media, staff members, workers, contractors, vendors, security, or anyone else who participates in any way, to behave appropriately throughout the year in accordance with this Code of Conduct.

Please be aware of and respect the personal boundaries of your fellow participants so that everyone can enjoy their time at the event.

Prohibited Activities

The WOLF Media Festival event policies and procedures apply to every “participant” in any RX event in any manner whatsoever, including, but not limited to, all exhibitors, attendees, speakers, guests, professionals, media, staff members, workers, contractors, vendors, security, or anyone else participating in any way. Each participant is solely responsible for their own conduct while participating in the event or any part of the event. Guardians are solely responsible for the conduct of any Minors Participating in the event or any part of the event.

By participating in the event in any way, each participant agrees and acknowledges to WOLF Media Festival and its event partners (“management”) that they will not, and will not directly or indirectly cause others to, do any of the following “Prohibited Activities” in connection with the event:

(i) interfere with, damage, or engage in any act which disrupts the operation of the event in any way, including but not limited to, obstructing aisles or entrances or exits, running, cutting in line, saving places in lines for others, jumping over barriers or guardrails, using foul language, screaming, yelling, encouraging disruptive behavior from others, disobeying any time limits, directions or prohibitions provided to participant by management’s staff and/or moderators, or preventing any other participant from Participating in the event by any means;

(ii) distribute, wear, transmit, upload, display or otherwise circulate any content which is inaccurate, unlawful, infringing, defamatory, obscene, pornographic, invasive of privacy or publicity rights, harassing, threatening, abusive, inflammatory, or otherwise objectionable to management in management’s sole discretion;

(iii) distribute printed or recorded materials of any kind unless prior written approval has been obtained from management;

(iv) impersonate any other person or entity or perform any similar fraudulent activities;

(v) sell goods or services, display goods or services, make solicitations of any kind, or conduct any commercial activities without the prior written approval of management;

(vi) harvest, collect, or attempt to collect the personal information, email addresses or other contact information of other participants in the event without the consent of such participants;

(vii) defame, harass, abuse, threaten or defraud other participants in the event.

(viii) circumvent, disable, damage, remove or otherwise interfere with the security, integrity, or proper conduct of the event;

(ix) access any unauthorized part of the event designated as only for management use;

(x) access any digital platform associated with the event by means of any robot, spider, scraper, crawler or other automated means for any purpose;

(xi) participate in the event for any illegal purpose, or in violation of any applicable local, state, national, or international law or regulation, including, without limitation, laws governing intellectual property and other proprietary rights, data protection and privacy;

(xii) smoke within the Venue for a live event, which includes, but is not limited to, cigarettes, vape pens, and marijuana;

(xiii) drink or possess alcohol within the venue outside of the specifically designated areas. No one under the age of 21 may consume alcohol within or around the venue;

(xiv) use, sell, possess, or distribute any illegal drugs or other illegal substances, including, but not limited to, any medication that has not been legally obtained, is not being used in its intended dosage or for its intended purpose;

(xv) assault, steal, fight, engage in or incite violence of any kind, including, but not limited to, verbal threats of violence; and

(xvi) possess and/or use any of the following prohibited items in connection with the event:

  1. a firearm, ammunition, knife, or weapon of any kind
  2. objects or toys that appear to be firearms, ammunition, knives, or weapons
  3. self-defense or restraining devices
  4. fireworks or other explosive or flammable objects
  5. glass containers
  6. recreational devices such as drones, remote control toys, skateboards, scooters, inline skates or shoes with built-in wheels
  7. strollers which are greater than 31” in width and 52” in length
  8. folding chairs
  9. selfie sticks
  10. balloons.

NOTE: Management has a ZERO TOLERANCE POLICY for weapons of any kind. Event security and local law enforcement officials will treat anything that looks like a real gun as a real gun.

Political and Offensive Expression Policy

Policy

To maintain a welcoming and inclusive atmosphere for all attendees, WOLF Media Festival has a no-politics policy. This includes, but is not limited to:

- No political messaging or slogans on clothing, accessories, or signage of any kind.

- No political paraphernalia, including buttons, hats, or cosplay designed to promote or protest political figures, parties, or ideologies.

Additionally, offensive gestures or signs—whether in person or during photography—are strictly prohibited, unless they have been explicitly pre-approved by the person(s) being posed with and are consistent with WMF’s Code of Conduct. This applies to individual and group photos taken on festival grounds, including photo ops and candid shots.

Failure to comply may result in removal from the event without refund.
